For a long time, I thought I was just winging it. I didn’t realize I was actually doing something called time-blocking—carving out little pockets of time for different areas of my life—until I started talking with other women who felt like they were constantly falling behind. They were overwhelmed, exhausted, and unsure how to keep everything going. And honestly? I’ve been there too.
That’s when I started leaning into it on purpose. I researched time management strategies, and when I came across time-blocking, I thought, “Oh! That’s what I’ve been doing… but kind of accidentally.” Since then, I’ve refined my own version of it—something I now call time-blocking with flex zones. It’s intentional, practical, and most importantly, flexible enough for real life.
Because let’s be honest: This isn’t about squeezing more into your already packed day. It’s about making room for what matters—with a rhythm that actually works when life is anything but predictable.
You’ve probably tried a planner at some point—maybe even a color-coded one. You map out your day hour by hour, only to have the whole thing fall apart by 9 a.m. The baby skipped their nap. School drop-off ran late. You forgot the lunchbox snacks. Been there.
I used to think something was wrong with me—like I wasn’t disciplined enough. But the truth is, those kinds of systems aren’t designed for women juggling full-time work, families, and a business. They’re built for people with uninterrupted time, and that’s just not our reality.
We need a system that leaves room for life to happen.
Time-blocking is the practice of dividing your day into focused blocks of time, each dedicated to a specific task or category—like product creation, customer emails, or even housework.
But the magic comes from adding “flex zones.” These are built-in spaces in your week where you can move things around without guilt. They give you breathing room when plans shift (because they will), and help you stay on track without feeling like you’ve failed.
For example:
Flex zones give you permission to adjust, catch your breath, and keep moving forward. It’s structure, without the shame spiral.
Here’s how I recommend getting started:
Start with your non-negotiables.
These are things like your 9–5, school pickups, family dinners, or church commitments. Block them off first—they’re your anchors.
Know your energy.
When are you at your best? Plan your most demanding business tasks during your peak energy windows. For me, that’s early morning.
Identify your pockets.
These are small blocks of time (20 minutes to an hour) where you can knock out focused tasks—during nap time, after bedtime, or on your lunch break.
Make a recurring task list.
Jot down what you do weekly in your business—emails, content creation, shipping, customer follow-ups. Group similar tasks together.
Assign those to blocks.
For example, Mondays might be marketing, Wednesdays for product creation, Fridays for admin. Keep it simple and repeatable.
Add your flex zones.
Leave open spaces during the week to catch up or breathe. These are what make your schedule resilient.
Use a calendar or planner.
I personally love Google Calendar with color-coded blocks, but a paper planner works too. What matters is seeing your week mapped out in a way that supports you
Some days you’ll crush it. Other days? The baby is teething, the dog gets sick, and you’re ordering takeout for the third night in a row. That’s life.
The beauty of this system is that it bends with you. Shift a task to your flex zone. Do a quick version instead of the full thing. Or skip it entirely and try again tomorrow.

Time-blocking isn’t about being perfect. It’s about being intentional. It’s a way to bring order to the chaos and make consistent space for your dreams—even in the middle of a full life.
